1. Who We Are
SerenkAI Maritime Services Limited is a UK-registered company providing maritime operational readiness and expert advisory services. We are the data controller and decide how and why your personal data is processed.
2. Personal Data We Collect
We collect personal data directly when you register, submit vessel documents, contact us (email/WhatsApp), or interact with our website or CRM. We process only what is necessary to provide our services. We never collect crew personal data (passports, STCW certificates, employment records).
Vessel operational documents (certificates, logs, photos) relate to vessels and equipment. Any incidental personal data (e.g. name or signature) is processed only to deliver the service and receives the same protections.
3. How We Use Your Personal Data
We use your personal data only as necessary to deliver and support our maritime services (including operational reviews, expert advisory, consultation, coordination, on-site assessments, post-incident guidance, and future related offerings). The main ways we use it are:
- To provide and manage your engagement or subscription, deliver reviews, reports, advice or assessments, and handle service communications — necessary for performance of our contract or engagement with you.
- To process payments and manage billing via Stripe or Revolut — necessary for performance of our contract.
- To maintain account and contact records, respond to enquiries, and manage our professional relationship — necessary for performance of our contract and our legitimate interests in running the business efficiently.
- To improve services, methodologies, operational frameworks and advisory capabilities through anonymised analysis and feedback — our legitimate interests (you can object by contacting us).
- To prevent fraud and secure our systems and communications — our legitimate interests in security and integrity.
- To comply with legal, tax, accounting or regulatory obligations — legal obligation.
- To send occasional marketing or service-update communications, but only with your explicit consent — withdraw anytime via unsubscribe link or email to operations@serenkai-maritime.com; withdrawal does not affect service messages.
4. Who We Share Your Personal Data With
We do not sell personal data. We share it only with trusted service providers who help deliver our services, all bound by contract to protect data in line with UK GDPR.
5. International Data Transfers
Some providers are based outside the UK, mainly in the United States. Where we transfer personal data outside the UK, we use UK-approved safeguards including Standard Contractual Clauses to protect those transfers in accordance with UK GDPR.
6. AI Platform Processing
We use paid commercial accounts with Anthropic Claude, OpenAI ChatGPT, xAI Grok, and Google Gemini to analyse vessel operational documents and generate readiness assessments or advisory outputs. Only minimal and incidental personal data (e.g. a name or signature within a record) is submitted — core content relates to vessels and equipment.
Key safeguards:
- Data processed primarily in the United States (some EEA processing for Google Gemini).
- Strict privacy settings prevent use of data for AI model training or improvement.
- We continuously monitor provider policies and will notify you of any material changes affecting data handling.
- As we scale, we plan to transition to formal API access with dedicated Data Processing Agreements for stronger contractual protections.
AI platforms support efficient, consistent document analysis without transferring any operational authority or adding workload onboard.
7. How Long We Keep Your Data
We keep personal data only as long as necessary for the purpose for which it was collected:

You may request export of your data within 90 days of termination of your subscription or engagement.
8. Cookies and Website Analytics
Our website uses essential cookies required for it to function correctly, and Google Analytics cookies to understand how visitors use our site (pages visited, time on site, referral source). Analytics data may be transferred to and processed in the United States by Google.
You can manage or disable cookies at any time through your browser settings. Disabling analytics cookies does not affect your ability to use our website.
9. Your Data Protection Rights
Under UK GDPR you have the following rights. Contact operations@serenkai-maritime.com to exercise any of them. We will respond within one month. Some exemptions may apply.

11. Marketing Communications
We send marketing communications only with your explicit consent. You can withdraw consent at any time by clicking the unsubscribe link in any marketing email or by contacting operations@serenkai-maritime.com. Withdrawal of marketing consent does not affect service communications related to your active engagement.
12. Changes to This Privacy Notice
We may update this notice from time to time. Material changes will be posted at serenkai-maritime.com/privacy and, where significant, communicated directly to you by email. Please check the version number and effective date at the top of this notice.
